Information We Collect

We collect information you provide directly when you complete the contact form on this website. This includes your name, email address, phone number, business name, and the details you share about your accounting needs.

If you subscribe to tax updates, we collect your email address, optional first name, consent confirmation, and the page where the signup was submitted.

We use Plausible Analytics to understand aggregate website traffic, including page views, referral sources, browser type, device type, and approximate location at the country or regional level. Plausible does not use cookies, does not create persistent visitor identifiers, and does not track visitors across websites.

Complimentary Review Information

A complimentary review request asks for your name, email address, province or territory, work situation, tax year and any optional notes. We use those details to respond to your request, arrange document sharing and coordinate the review.

Documents requested for the review may include personal or corporate tax returns, Notices of Assessment and supporting records relevant to your situation. We use them to conduct the review, discuss findings and respond to related questions.

Review documents are shared through Microsoft SharePoint, a Microsoft 365 service, rather than uploaded to the public website. Microsoft processes and stores the files as the provider of that service. The practice manages folder permissions and sends an invitation associated with the email address you provide. Other prospects are not given access to your review folder.

Requesting a complimentary review does not subscribe you to tax updates. Please use the private folder for tax documents and avoid including your SIN or account numbers in the website request form.

How We Use Your Information

Information submitted through the contact form is used solely to respond to your inquiry and to provide the accounting and tax services you request. We do not sell, rent, or share your personal information with third parties for marketing purposes.

Newsletter signup information is used to send occasional tax updates, filing deadline reminders, and related practice communications. You may unsubscribe or ask to be removed by contacting us at contact@teplov.ca.

Analytics information is used to understand which pages are useful, identify technical issues, and improve the website. Analytics reports are reviewed in aggregate rather than as individual visitor profiles.

As a CPA firm, we are subject to professional confidentiality obligations under CPA Ontario standards. Client information is held in confidence in accordance with those obligations.

Data Retention

Contact form submissions are retained for the period necessary to respond to your inquiry. Client files are retained for the minimum period required by applicable professional and regulatory standards.

Complimentary review requests, documents and related correspondence are retained only for as long as needed to complete the review, handle related follow-up and meet applicable recordkeeping obligations. If you proceed with an engagement, relevant review records become part of your client file. Records no longer needed for these purposes are securely deleted or disposed of.

Newsletter signup records are retained while you remain subscribed, or as otherwise needed to maintain consent and unsubscribe records.

Your Rights

You may request access to, correction of, or deletion of personal information we hold about you by contacting us at contact@teplov.ca. We will respond within a reasonable time.
